SOP for Transfer of Materials, equipment & accessories

1.0 OBJECTIVE
To provide a general guideline for transferring materials, equipment, accessories etc. from QA & QC to the respective areas, e.g. Engineering workshop, scrap area etc.

2.0 SCOPE
This SOP is applicable for transferring all kinds of materials (e.g. remaining samples of raw & packaging materials, finished products samples, filled or empty cans of MDI products, metering valves & actuators, empty reagent bottles, broken glassware, expired documents etc.), equipments (e.g. redundant equipment), accessories (e.g. HPLC/GC columns, redundant equipment spares etc.).

3.0 RESPONSIBILITY
3.1 Officers & Mangers of QA & QC are responsible for carrying out the procedure.
3.2 Overall responsibility for training, implementation & follow-up with the QC/QA Manager or his/her nominee.

4.0 ACCOUNTABILITY
4.1 Head of Quality.

5.0 PRECAUTIONS
5.1 During transfer of any material; take necessary protection to avoid any spillage or spreading of materials.
5.2 Carry the materials, equipment or accessories carefully so that no person (s) or surroundings are affected.

6.0 PROCEDURE
6.1 Assign a responsible officer/manager for effective implementation of the transfer process.
6.2 Take necessary precautionary measures to avoid any drop off, breakdown, spills, damage and loss of the transferring items.
6.3 Refer to other SOPs (depending on the items involved) for detail procedures applicable.
6.4 The responsible officer / manager will ensure safe & complete transfer of the items to the destination with accompanying paper works.
6.5 Liaise with other stakeholders depending on the area/person impacted for such transfer.
6.6 The person engaged in the transfer process should inform the responsible officer / manager about the complete transfer, any incident happened during transfer.
6.7 In case of any incidence, the responsible officer/manager shall take immediate corrective actions.
6.8 If during transfer of a material, product or equipment a spillage/leaking or spreading of materials happened, the affected area must be cleaned immediately following appropriate procedure to avoid any damage of the area.
6.9 Raise incidence report for any incident happened during transfer.
6.10 Document the transfer process.
