SOP for Raw Material Reconciliation

1. Purpose: To define the procedure for all raw materials reconciliation.

2. Scope: This procedure is applicable to all raw materials for verification of physical stock vs. ERP stock.

4. Responsibilities:
Warehouse:
To carry out material reconciliation as per procedure.
To provide written justification if material is found less/excess more than limit.
Officer-QA:
To ensure that reconciliation of material is within limit.

5. Definition of terms: Not applicable

6. Procedure:
6.1. Select raw material from the ERP closing stock report and transfer the physical stock of the material to the dispensing room one by one.
6.2. Enter the code no., name, AR no. of the respective materials into the physical stock verification format.
6.3. Weigh the materials and enter the weights in the appropriate columns.
6.4. Calculate the difference between the physical stock taken and the ERP stock. account for the spillage quantity, if any.
6.5. Check that the variance between the physical and the ERP stock does not exceed 1% for Active Raw Materials and 3% for Inactives (Except Colloidal Silicon dioxide, Hydroxy Propyl Methyl Cellulose all grade. Limit is 5%) & 5% limit for Volatile Solvent like Isopropyl alcohol & Acetone. (Except Dichloromethane Limit is 10%)
6.6. Inform QA in case of any discrepancy observed, which exceeds the limit.
6.7. Raise event report and perform investigation to find out root cause and take necessary corrective and preventive action.
6.8. Perform the reconciliation in the first week of every month.
6.9. Select the materials for reconciliation on rotation basis such that each A.R number gets verified in a quarter.
