SOP for Hiring of Personnel

Objective To establish an appropriate recruitment procedure to ensure that the competent personnel are hired for desired positions, to achieve specified quality objectives consistently.

Scope This SOP will be applicable for Human Resource Department.

Responsibility
1. Senior Officer will be responsible for hiring personnel.
2. Manager, HR will be accountable for ensuring that competent personnel are hired for desired positions.

Procedure
=>> In ION & Infusions Units two different types of procedures will be followed for recruiting of personnel, procedures are –
Recruitment Protocol for Officers
Recruitment Protocol for Workers
=>> The Recruitment Protocol for Officers
=>> This procedure will apply for hiring of personnel of Grade B1 to B4 (enclosure 10.1).
=>> Employee requirement for vacant or new position(s) will be informed to Director, Manufacturing or Head of Quality by the Head of Department by filling in the HR recruitment form. Director Manufacturing or Head of Quality will forward the form to HR Dept.
=>> HR Dept. will arrange to publish an advertisement in the National Daily newspaper(s) as well as conduct in-house search for candidates from reference file.
=>> After receiving the application, HR Dept. will prepare necessary database of the candidates.
=>> HR Dept. will screen the applications as per criteria and sort out the applications that are previously applied.
=>> After screening the applications, HR Dept. communicates to the short listed candidates on their phone numbers for appearing the interview.
=>> Interview Board consisting of Departmental Head and HR personnel shall conduct the interview and make a preliminary selection.
=>> All the preliminary selected candidates in the oral interview will be called for the final oral interview taken by Chief Operating Officer (if required) and Manager, HR.
=>> Selected candidates are given offer for the job by HR Dept.
=>> Information sheet for new employee will be given by HR Dept. after submission of joining report by the candidate.
=>> Placement and orientation programme will be arranged by HR Dept. after joining of the candidate.
=>> The Recruitment Protocol for Workers
=>> This procedure applies for hiring of personnel of grade C to D3. (enclosure 10.1)
=>> Head of Department will raise requisition for recruitment of worker(s) for vacant and/or new position(s) with the Director, Manufacturing.
=>> Director, Manufacturing will write memo to HR Dept. with the requirements.
=>> HR Dept. will advertise in the National Daily newspaper or conduct in-house search as well as CV banks for candidates.
=>> After screening the applications, HR Dept. communicates to the short listed candidates on their phone numbers for appearing the interview.
=>> The interview board will consist of Dept. Head / delegated officers of concerned department(s) and personnel from HR Dept. Selections are made on the incumbent’s performance in the interview and interview records are documented.
=>> HR Dept. will prepare necessary documents and send offers to the selected candidates.
