SOP for Operation and maintainance of Therm.-Clock-Humidity Meter

1.0 OBJECTIVE : To set up the operation and maintenance procedure for Thermometer/Clock/Humidity meter.

2.0 SCOPE : This SOP is applicable for the operation and maintenance procedure of Thermometer/Clock/Humidity Meter at Quality Control Department of (Company Name).

3.0 RESPONSIBILITY
3.1 Operating personnel is responsible for carrying out the procedure.
3.2 Overall responsibility for training, implementation & follow-up with the QC Manager or his/ her nominee.

4.0 ACCOUNTABILITY
4.1 Head of Quality.

5.0 PRECAUTIONS
5.1 Low battery power can occasionally cause any number of ‘apparent’ operational difficulties. Replacement the battery with a new fresh battery will solve most difficulties.
5.2 Routine calibration (as per calibration schedule) is required for the proper functioning of the instrument.

6.0 PROCEDURE
6.1 Clock operation (back of unit)
5.1.1 Slide the CLOCK SET switch to the CLOCK SET position
6.1.2. Press and release the HR button to set the present hour. Press and hold the HR button for faster setting.
6.1.3 Press and release the MIN button to set the present minute. Press and hold the MIN button for faster setting.
6.1.4 Slide the CLOCK SET switch to LOCK position.
6.2 12 Hour AM/PM or 24 Hour (Back of Unit)
6.2.1 Simply slide the 12HR/24HR switch to choose the desired format. In 12HR format, an ‘AM’ or ‘PM’ sign will appear indicating AM or PM hours.
6.3 °C or °F Readout (back of unit)
6.3.1 Select °C or °F slide switch to °C or °F position.
6.4 Thermometer operation (Front)
6.4.1 To read MIN-MAX temperature press TEMP MIN-MAX MEMORY button. Press CLEAR to clear MIN-MAX TEMP memory record.
6.4.2 Press TEMP MIN-MAX MEMORY button for current reading or if after 8 seconds and no key is pushed, display will resume current time-temp-humidity display.
6.5 Hygrometer operation (Front)
6.5.1 To read MIN-MAX relative humidity press HUMIDITY MIN-MAX MEMORY button to read maximum reading. Press MIN-MAX button again to read minimum reading. When reading maximum press CLEAR to clear maximum reading. When reading minimum reading press CLEAR to clear minimum reading.
6.5.2 Press HUMIDITY MIN-MAX MEMORY button for current reading or if after 8 seconds and no key is pushed, display will resume current time-temp-humidity display.
6.6 Data record
6.6.1 Where temperature and humidity data record is recommended (Actual, Max and Min), place the Thermometer/Clock/Humidity Meter at a suitable place.
6.6.2 Record the temperature and humidity data twice daily (recommended time 10 AM ± 1Hour and 4 PM ± 1Hour) as per Annexure-I and Annexure-II.
6.6.3 In Temperature and Humidity Register (Annexure-I and Annexure-II), for each Thermometer/Clock/ Humidity Meter, the Instrument name, Instrument ID No. and Location should be in computer typed form.
6.6.4 Once the recording of maximum and minimum temperature in annexure I & II is done, clear the existing maximum and minimum recorded data from the memory.
6.6.5 If the data found out of range, immediately notify it to the engineering department as per the Annexure – III to take corrective action.
6.6.6 Engineering department shall take corrective/preventive action immediately and inform QC through Annexure-IV.

7.0 MAINTENANCE
7.1 If the unit does not function properly for any reason, replace battery with a new high-quality battery. If the voltage of the battery becomes low °C and °F symbol will flash.
7.2 Erratic readings, a faint display, no display or flashing °C/°F symbols appearing on the display are all indicators that the batteries must be replaced. Remove the battery cover on back of unit. Remove used battery and replace with a new suitable Battery.
7.3 Internal calibration is required for the proper functioning of Thermometer/Clock/ Humidity Meter on regular interval as per calibration master plan (FRM No.: FQA/041-01).
7.4 Incase the equipment does not work properly even after replacing the battery, supplier of the instrument to be informed for maintenance. Upon maintenance if the supplier cannot rectify the instrument it has to be replaced with a new one.
