SOP for Obsolete Software

1.0 OBJECTIVE
To lay down a procedure for maintaining and restoring old electronic data using obsolete software

2.0 SCOPE
This procedure is applicable to all electronic data which need to be retrieval by the obsolete software in (Company Name) QC laboratory.

3.0 RESPONSIBILITY
3.1 QC manager or his/ her nominee shall responsible for maintaining old data.
3.2 Overall responsibility for training, implementation and compliance with the QC Manager or his/her nominee.

4.0 ACCOUNTABILITY
4.1 Head of Quality.

5.0 PRECAUTIONS
5.1 Before discarding any system, make sure that all data acquired by that system is backed up properly.
5.2 Make sure suitable software is available to open, read and print the data.

6.0 PROCEDURE
6.1 Before decommissioning any equipment from QC lab, all data shall be backed up in a CD/ DVD, hard disk drive of server or PC or any suitable storage device.
6.2 In the event that software needs to be updated and old data cannot be readable in the new version, then the old version of software shall be installed in a separate PC, manager’s/supervisor’s PC which should have access control.
6.3 The PC used for keeping obsolete software must have appropriate software and hard ware and is capable of retrieving of old data.
6.4 Old data shall not be edited and be kept for reference only. Printout can be taken if required.
6.5 Software function shall be checked randomly for one set of analytical data once in every six months and the data shall be print out and reviewed.
